Privacy Policy

This Privacy Policy explains how Greenwood Walker, LLC, a Texas limited liability company doing business as Easy Senior Move(“Easy Senior Move,” “ESM,” “we,” “us”) collects, uses, and protects information in the ESM Command Center(the “Service”), our private operations application at cc.easyseniormove.com.

The Command Center is an internal tool used by ESM staff and by vetted referral partners we invite. It is not a consumer product and is not open to the public. By signing in, you agree to this Policy.

1. Information we collect

Account information

When you sign in with Google, we receive your name, email address, and profile image so we can create and secure your account and control what you can see based on your role.

Information you enter into the Service

  • Client & family information — names, contact details, move logistics, notes, and case activity that our staff record to coordinate a move.
  • Partner information — business contact and service details for the professionals in our referral network.
  • Communications — emails sent from the Service and, where connected, call and text activity on the ESM business phone line.

Technical information

Standard log and device data (such as IP address and browser type) used to operate and secure the Service.

Health information (PHI). Until ESM completes HIPAA-compliant hosting and the required Business Associate Agreements, staff are instructed not to enter client health details into the Service, and the app actively reminds them. Once those safeguards are in place, any protected health information will be handled in accordance with HIPAA.

2. Google user data

With your permission, the Service connects to your Google Workspace account to provide its features. We may access:

  • Google Calendar — to show and create appointments and team events.
  • Google Drive — to create case folders, upload and list documents, and store automated backups in your organization’s own Drive.
  • Gmail — to display a preview of your recent inbox and to send email you initiate from the Service (from your own address).

Limited Use.The Service’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not use Google user data for advertising, we do not sell it, we do not transfer it to others except as needed to provide and secure the Service (or as required by law), and we do not allow humans to read it except with your consent, for security, to comply with law, or where the data has been aggregated and anonymized. You can revoke the Service’s access at any time from your Google Account permissions or by disconnecting in Settings.

3. How we use information

  • To operate the Service — manage cases, partners, tasks, calendars, documents, and communications.
  • To send email and reminders you or the workflow initiate.
  • To secure the Service, prevent misuse, and keep an audit record of sensitive actions.
  • To generate AI-assisted drafts (see Section 6), which a person always reviews.

4. How we share information

We do not sell personal information. We share information only with service providers that help us run the Service, under agreements that limit their use of it:

  • Vercel — application hosting.
  • Supabase — database, authentication, and file storage.
  • Google Workspace — sign-in, email, calendar, and file storage.
  • Anthropic — AI drafting features (only the content needed for a given task).
  • Quo (OpenPhone) — the ESM business phone line and its call/text records.

We may also disclose information if required by law or to protect the rights, safety, and security of ESM, our clients, or others.

5. How we protect information

  • Sign-in through Google — we do not store passwords.
  • Row-level security in the database, so each role can only access what it is permitted to.
  • Encryption in transit and at rest through our providers.
  • An audit log of sensitive administrative actions and automated daily backups.

No system is perfectly secure, but we work to protect information using reasonable, industry-standard measures.

6. AI features

The Service uses AI to draft plans, summaries, and analyses. AI outputs are drafts for internal review — a person reviews and approves before anything is relied upon or sent. AI is not used to make automated decisions about individuals, and outputs are not professional, medical, or legal advice.

7. Data retention

We keep information for as long as needed to operate the Service and for legitimate business and legal purposes. Demo and test records may be purged at any time. On request, we will delete or return information where we are able to do so consistent with our legal obligations.

8. Your choices

  • Update your profile in the Service, or ask an administrator to correct information about you.
  • Disconnect Google access in Settings or at your Google Account permissions page.
  • Contact us to request access to, correction of, or deletion of information about you.

9. Children

The Service is intended for authorized adult users only and is not directed to children under 13.

10. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by the “Last updated” date above.
